In the case of a short-term rental (up to 6 months), the minimum rental period is one day, or from 11:00 a.m. to 9:00 a.m. the next day, and the maximum rental period is 6 months from the time the vehicle is picked up. In the case of a long-term rental (6 months or more), the minimum rental period is 6 months, and the maximum rental period is 60 months.
Rental conditions
What is meant by the term “lessee" and "lessor"?
The lessor is ACTINIA G.m.b.H. or the company ACTINIA d.o.o., as well as all its employees and persons authorized by it. The lessee is a person or company, as well as all its employees and persons authorized by it, who are entitled to drive the vehicles.
Who can drive the vehicle?
The vehicle may be used, driven or operated by:
• persons over 21 years of age who have had a valid driver’s license for at least 2 years (or according to the valid conditions of the insurance company),
• persons authorized to manage, drive or use the vehicle, as specified in the contract, or as subsequently communicated by the lessee,
• persons who, in accordance with the legislation in force at each time, have passed an appropriate professional exam in the field of occupational safety and fire safety,
• the lessee must not be punished or in criminal proceedings.
What do I need to rent a vehicle?
The documentation you need for the rental business approval process:
• a valid personal document,
• valid driver’s license,
• tax number.
From/until when is the daily or weekend rental valid?
Daily rental is valid from 11:00 a.m. to 9:00 a.m. the next day, i.e. 22 hours after vehicle pickup, weekend rental is valid from Friday, 11:00 a.m. to Monday, 9:00 a.m.
Can a foreign natural or legal person also rent the vehicle?
Yes, with a valid international driver’s license. If the lessee is a foreign natural person, it is not possible to pay the security deposit in cash.
Can I go abroad with a rented vehicle?
Rented vehicles may be used outside the Republic of Slovenia or in the EU. Vehicles may not be used outside the EU, outside roads I., II. and III. order and in war zones.
Collection and return of vehicles
What is the vehicle pickup procedure?
Before taking over the vehicle, the lessee must arrange the following:
• signing of the rental agreement prepared by the lessor,
• signing of the acceptance minutes,
• payment of rent and deposit.
All documentation and vehicle collection can only be done by the lessee. If a third party were to perform the documentation and takeover of the vehicle, he needs the lessee’s written authorization to be able to do so on his behalf. Otherwise, the vehicle cannot be picked up.
In what condition do I have to return the vehicle?
The vehicle must be returned in the same condition as it was collected, clean, at the agreed fuel level, free of third-party property and fully prepared for normal use, with all relevant equipment, accessories and documentation.
Where are the vehicles picked up?
Vehicles can be picked up at Mašera-Spasićeva ulica 8, 1000 Ljubljana, Slovenia.
Is it possible to deliver the vehicle to the desired location?
Yes, delivery to the desired location is possible, but after prior agreement and additional payment. Within the Ljubljana Ring, delivery to the address is free, outside the Ljubljana Ring, each kilometer driven is €0.49 including VAT. The mileage and fuel level in the rented vehicle is taken into account from the lessor’s address.
Can the vehicle be collected or returned outside the lessor's working hours?
You can, but with an additional fee. The surcharge for collection between Monday after 16:00 and Saturday until 12:00 is €18.30 including VAT. The surcharge for pickups from Saturday after 12:00, Sundays and holidays is €30.50 including VAT.
How is the vehicle inspected before and after collection?
The lessee or the authorized user of the vehicle with an employee of Actinia d.o.o. or Actinia G.m.b.H. inspects the vehicle in its entirety according to the handover protocol prepared by the lessor. Photos and videos of the condition of the vehicle at the time of collection and return are in the lessor’s archive.
What happens if I return the vehicle later than the agreed time?
In the event that the lessee exceeds the agreed rental period:
• the first 29 minutes do not count,
• for 30-59 minutes of billing delay, 20% of the daily rental cost,
• for 60-119 minutes of billing delay, 50% of the daily rental cost,
• for 120 minutes or more, an additional rental day is charged.
Is the cost of a charged electric vehicle calculated upon return?
In the event that the electric vehicle is not returned fully charged at the end of the rental, charging is an additional cost to the renter. The cost of charging is 0,77 €/kWh incl. 22 % VAT.
How do I charge an electric vehicle and how is it calculated?
In every rented electric vehicle there is at least one charging card, which is addressed to the lessor. During the rental period, the lessee can use it to charge the rented vehicle. After the end of the lease or every month (in the case of a long-term rental), the charging costs are charged to the lessee.
Can I renew my current rent?
Yes, you can extend your current rent.
How do I renew my current rent?
If the vehicle is still available after the day of your return, you can extend your rent. Rent must be paid before the end of the current rent. In no case is the vehicle still reserved for you after your rent expires, except in case of additional payment. Only the invoice applies to rent extension, rental conditions remain the same.
Booking process
How far in advance can I book a rental appointment?
The distance of reservations is not limited. Payment is mandatory for all reservations for dates up to 6 months from the date of confirmation of the offer. Payment is not mandatory for all reservations for dates more than 6 months from the date of confirmation of the offer. The appointment is reconfirmed 60 days before the start of the rental, due to stock or availability of vehicles.
When do I have to pay the rent and when do I have to pay the deposit?
If you want to have the rental period reserved, the rental fee is paid in full immediately, and the deposit is paid at any time before taking over the vehicle. If the deposit is paid via transaction, it must be visible on the lessor’s bank account before taking over the vehicle.
What happens if I want to cancel or postpone the rental date?
According to the lessee’s own will and decision, the lessor is not obliged to refund, and the lessee is not entitled to demand a refund of the corresponding part of the rent already paid for the entire rental period.
What happens if I have a reserved vehicle and it is damaged or unavailable for the reserved time?
In this case, the lessor is responsible for providing a suitable replacement vehicle, reimbursing the costs or rescheduling the rental date, as far as this suits the lessee.
How does the multi-month rental work?
The start of rent is the same as in the case of a short-term rent. You will receive an invoice for each subsequent month, which must be settled before the end of your monthly rental. If this does not happen, the contract will be terminated. The cost of terminating the contract is 183,00 € including 22 % VAT.
Vehicle insurance
How is the vehicle insured?
Each individual rented vehicle is insured in accordance with the applicable regulations of the Republic of Slovenia and the general terms and conditions of the insurance company, which can be seen from the insurance policy for the individual vehicle, which is available in the original for inspection at the lessor, and to the extent agreed in the contract (conclusion of comprehensive insurance, excess). If necessary, the vehicle is also equipped with a GPS device, the use of which is intended both for the needs of carrying out control over the vehicle, as well as during the procedure of confiscation of the vehicle, if the customer does not respond to calls for return or in case of alienation.
What kind of replacement vehicle do I receive?
• The lessee is entitled to a replacement vehicle at no additional cost if he is not responsible for the resulting damage or defect. The lessor is obliged to provide the lessee with an equivalent vehicle to the currently rented vehicle.
• Otherwise, for the period of maintenance or servicing and vehicle repairs, the lessor will provide the latter with a replacement vehicle at the lessee’s expense if necessary.
Costs in the event of an accident or breakdown
How are additional costs calculated when returning the vehicle?
Additional costs when returning the vehicle (exceeding mileage, missing fuel, fines, damages) are deducted from the deposit paid.
Who is responsible for damage to the vehicle's windshield?
The lessee, with excess, the value of which is specified in the handover report on handing over the vehicle to the lessee.
What happens if an unauthorized person damages or commits an offense on the vehicle?
It is the responsibility of the authorized person or lessee, who is listed as the user of the vehicle.
What happens if the rented vehicle breaks down or is damaged and the vehicle cannot be used?
The lessee is entitled to a replacement vehicle at no additional cost in the event that he is not responsible for the resulting damage or defect. Otherwise, for the duration of the maintenance or servicing and repairs of the vehicles, the lessor shall, if necessary, provide the latter with a replacement vehicle at the expense of the lessee.
Is there an additional cost for cleaning the vehicle on return?
Yes. If the vehicle is not in the same condition as when you picked it up, a cleaning fee will be deducted. This is € 25.00 incl. VAT.
We clean our vehicles manually and carefully, so we recommend that the hirer does not need to clean the vehicle at the time of each hire, but the cost will be deducted from the deposit paid.
Can the vehicle be used by an unauthorized person?
No. If the vehicle is used by an unauthorized person, the cost of the offense is €100.00 including VAT.
How is the value of the damage done calculated?
The cost of the resulting damage is assessed by an authorized repairer of the brand of the rented vehicle. The lessor must always provide the lessee with an assessment of the damage.
What to do in case of a traffic accident?
In the event of a damage incident, regardless of whether it is partial damage or total destruction of the vehicle or alienation of the vehicle, the lessee is obliged to secure all evidence of the incident and obtain the documentation about the damage incident necessary for filing a compensation claim.
The lessee undertakes to immediately call the police in any case, inform them of the accident, wait for their arrival and the preparation of the appropriate official report on the accident, and obtain a copy of the relevant report. He also undertakes to complete the European accident report in detail, make a sketch and make his statement, which he will immediately deliver to the lessor.
What happens if I commit an offence?
The lessee assumes all obligations arising from non-observance of traffic regulations, improper parking or other violations of regulations when using the vehicle and for all resulting damage. This responsibility of the lessee continues even after the termination of the Agreement, if the penalties or damages stem from the time when the lessee used the vehicle.
Payment of rent and deposit
How long does it take for the deposit to be returned?
• In so far as the lessor has no further demands on the lessee after the termination of the lease relationship (all rents, fines, other costs will be paid), the deposit will be returned to the lessee interest-free no later than 14 days after the end of the lease.
• In case of damage, the deposit will be returned after a preliminary assessment of the damage by an authorized service.
In what ways can I pay the rent into a deposit?
You can pay the rent and deposit via transaction, in cash or by card. In any case, the deposit is returned to the payer’s bank account, regardless of the payment method.
What does "rent" cover?
The rental fee consists of the basic daily rental for the selected vehicle and insurance (basic and full insurance), services, repairs, tires and tire change, vignette, roadside assistance, replacement vehicle.
What does the "deposit" cover?
In order to secure the payment obligation, and above all to protect or guarantee the return of the rented vehicle itself, the lessee undertakes to pay the lessor a deposit, which the lessee is obliged to pay to the lessor no later than before taking over the vehicle.
Can you pay the rent as a legal person and the deposit as a natural person?
No. The lessee, rent and deposit payer must be the same person or company.
Other
How can I extend the vehicle lease?
If the lessee wishes to extend the agreed rental period concluded on the basis of a short-term contract, he must ask the lessor for his consent, namely at least 48 hours before the end of such contract. The extension of the short-term rental agreement can be carried out in any branch of the lessor.
What happens if the damage is not recorded in the handover record when the vehicle is taken over?
The condition of the vehicle is rechecked based on photos and videos from the lessor’s archive. If the damage was not recorded on the handover report, we will confirm it in writing to the lessee’s e-mail.
What is the difference between an additional kilometre and an exceeded kilometre?
An additional kilometre means an additional payment for kilometres before taking over the vehicle, and an exceeded kilometre is every extra kilometre after returning the vehicle.
Do all vehicles have a vignette?
All vehicles have a Slovenian vignette.
What happens if we forget our property in the rented vehicle?
The lessor is not responsible for the lessee’s property or the property of another person left in or on the rented vehicle. If the property is found, the lessor will notify the lessee in writing. All found property of the lessee or a third party is located at the lessor’s address.
How many kilometers are included in the price?
The mileage included in the rental fee depends on the period and the rented vehicle. Before the rental is confirmed, the included mileage will be visible on the invoice, estimate or offer. After the vehicle has been taken over, the included mileage can be seen on the handover document.
How much is the cost of excess kilometers?
Each kilometer exceeded can amount from 0,49 € including 22 % VAT up to 3,42 € including 22 % VAT. The amount depends on the period and the rented vehicle.
